Tungsten T3 and Outlook 2003 Calendar Sync

Hi all

I had been syncing my T3 to Outlook 2003 running under WinXP using the
Palm conduits (1.01) quite successfully until a couple of weeks ago.

Then suddenly I started having problems, and I'm not sure what I've
done to cause it.

Basically, whenever I now run Hotsync, it starts to sync Outlook
Calendar, waits for a while, then I get a message box saying the
'Server is Busy' with "Switch To..." and "Retry" buttons. I've tried
pressing both but neither seem to do anything.

When I look in Task Manager I can see that the outlook.exe process is
eating more and more memory, and unless I kill it, I eventually run
out of virtual memory. I have 512Mb RAM and 2Gb cache, so I'm talking
about a lot of memory!!

If I turn off Calendar synching completely in the HotSync options then
everything else works fine, eg Tasks, Notes and Memos.

Does anyone have any idea what's going on? Any known fixes?! If not,
is there any extra logging I can turn on to see what's happening?

I don't have a specific answer, but in the past when I've had issues with
syncing I've looked in the hotsync log and Googled the error message. It
takes some detective work but I usually come up with an answer.

I have a new Palm T3, running Outlook 2002 and having the same issue.
Calendar Sync fails regularly. I'm wondering if it is due to:
1) Number of records (I've tried archiving records in Outlook and Purging
records in handheld or
2) Syncing over a slow network connection

Any help would be appreciated here!!

Thanks for the reply - the only one I've had :-(

Unfortunately, because the sync process simply crashes, the HotSync
log doesn't say anything useful at all - everything just crashes or I
have to kill it from the Windows Task Manager. At the start it says:

Long saga short... When I first had the problem, I called Palm Support and
they told me to install 4.1.4, I did install it, and then it wouldn't sync
AT ALL. I called Palm Support and got a nice lady in the Phillipines to
"help". She informed me that 4.1.4 DID NOT support Outlook!?!? She had me
uninstall it and install the original version that shipped with it,,, so I
am back to square one. The calendar is the only one that periodically fails
to sync, or syncs very slowly. This is my 3rd Palm, and I've never had this
much trouble.

Any suggestions are appreciated.

I'm running Win2k and not had any problems w/ my T3.

Have you tried uninstalling and deleting the Palm desktop in the windows
registry then reinstalling? Seems to me the new desktop installer is
corrupting the registry when it tries to uninstall during the install.
HKEY_CURRENT_USER -> Software -> U.S Robotics folder Delete folder
called Pilot Desktop.
Then go to HKEY_LOCAL_MACHINE -> Software Delete folder called Palm
Computing.

Jim,
I'm going to try what you have suggested. Before I start, can you verify
that these are the correct steps?
1) Uninstall Palm Desktop v 4.1.2 using the XP Add/Remove Software in
Control Panel
2) Go to Folder: HKEY_CURRENT_USER -> Software -> U.S Robotics folder
3) Delete folder called Pilot Desktop
4) Go to Folder: HKEY_LOCAL_MACHINE -> Software
5) Delete folder called Palm Computing
6) Install Palm Desktop v 4.1.4

Here are a few other questions:
1) After installing v 4.1.4, do I need to re-install the Outlook Conduits
from the original installation CD?
2) Before installing v 4.1.4, do I need to delete the folder under Program
Files\Palm with my sync name?

Yes, but I always make a backup of the registry before editing, in

No, PDT 4.1.4 has a new set that install v.1.1.0

No, this is where all your backup data is stored. Keep the Palm folder
also.
As a precaution, I always make a copy of my user folder before the
reinstall. I have never needed it, but if something screws up your data
on the desktop and palm, you got a backup copy. Just hard reset, delete
the user folder, copy the backup user folder, hotsync. I usually keep it
for a week or two, till I check all my data.

Hi Jim

I eventually managed to fix my problem as follows:

1. Create a new folder under my Mailbox in Exchange called NewCal.

2. Changed the HotSync settings to sync to this calendar rather than
the default Calendar.

3. Checked this synced ok.

4. Copied calendar entries from the old calendar to the new one
bit-by-bit until the sync failed - which it eventually did. Copying is
easier when the current view in the calendars is set to 'By Category'.

5. Deleted the rogue appointment from both calendars (I couldn't see
anything wrong with it in Outlook!)

6. Deleted NewCal and reverted HotSync to use the default Calendar.

This seems to have fixed all of the problems and syncing is now fine
again. I have no idea what was wrong with the problematic appointment
but I've since recreated it and hotsync is still happy.

I'm not sure if this is the same problem you're having or not - but
steps 1-3 only take a few minutes and might be worth checking.

BTW I'm using 4.1.4 and Outlook 2003 with no problems.

I am experiencing the same problem with the T3 and hot sync, but with an additional problem. Outlook gives a warning that someone is trying to access the email addresses in my contacts and ask if I will allow it. It wont accept yes, and after you click no, it goes to the server busy switch to routine, saying that microsoft outlook inbox is not responding. Palm tech support says to contact microsoft to change the security settings in outlook.

I am going to try all the suggestions already posted too.

Any additonal suggestions are appreciated.
